About the role
As a Facilities & Estates Administrator, you will provide essential administrative support across the Facilities & Estates function. Working closely with the Real Estates Manager, Supervisors, and Contracts Support, you will help ensure smooth day-to-day operations, effective contractor management, and accurate record keeping across multiple sites.
Responsibilities:
- Support the administration of Facilities & Estates contracts, including maintaining documentation, onboarding contractors, and preparing renewals
- Assist in monitoring contractor performance against KPIs and service level agreements, ensuring standards are met
- Maintain accurate records including contract files, service reports, compliance documentation, and communication logs
- Raise purchase orders, track invoices, and support financial and procurement processes using internal systems such as D365
- Coordinate planned and reactive maintenance activities, ensuring schedules are up to date and works are completed on time
- Support compliance activities, including tracking RAMS, permits, training records, and assisting with incident and audit follow-ups
- Provide general administrative support, including scheduling meetings, booking visitors and parking, and supporting minor projects and initiatives
