This role is 100% in-person at our office in the mission, SF.

The Role

As an Executive Assistant at Foundry Robotics, you'll be a force multiplier for the company, helping the leadership team move faster, stay focused, and execute on what matters most. You will support the leadership team with calendar management, travel orchestration, strategic meeting organization, and recruiting coordination for candidates. Working on fast timelines amid dynamic circumstances, you will ensure the team is always prioritizing the highest-value and most urgent work to drive outcomes across the organization.

Key Responsibilities

  • Manage complex calendars - Proactively manage the CEO's schedule, priorities, and incoming requests, exercising strong judgment to protect their time and focus.

  • Coordinate travel and logistics - Handle executive and candidate travel, logistics, and briefings with precision, solving problems before they're visible.

  • Partner with leadership on priorities - Work closely with the CEO and leadership to prioritize time, focus, and energy across meetings, customers, internal stakeholders, and strategic initiatives.

  • Events - Plan and execute team offsites, customer dinners, executive events, and internal gatherings end-to-end — venue, catering, run-of-show, and budget.

  • Office operations - Own the office: keep it customer-ready for walk-throughs, the kitchen well-stocked, and shared supplies and equipment orderly and easy for the team to use.

  • Visits and hospitality - Plan customer, partner, and candidate visits — handle check-in, hospitality, and on-site experience so guests feel taken care of from arrival to departure.

  • Recruiting coordination - Support prospective hires with travel, scheduling, and a polished on-site experience that closes great candidates.

  • HR stand-up and people operations - Help stand up core HR systems and policies, own new-hire onboarding and training coordination, and handle employee requests with a high degree of customer service.

  • Culture - Greet and host guests, partners, and candidates in a way that reflects Foundry's culture and professionalism.

  • Confidentiality - Handle sensitive and confidential information with the utmost discretion at all times.

What We're Looking For

3+ years supporting senior executives in high-performance environments, preferably in enterprise or financial services; office management experience a strong plus.

  • Exceptional attention to detail — you catch errors, anticipate needs, and ensure nothing falls through the cracks.

  • Excellent verbal and written communication skills — you write polished emails, communicate clearly with stakeholders at all levels, and represent the team with professionalism.

  • A dynamic and proactive approach — you thrive in fast-paced environments, adapt quickly to shifting priorities, and take initiative without waiting to be asked.

  • Hospitable by nature — you make guests, candidates, and teammates feel taken care of.

  • Systems-minded — you turn chaos into repeatable processes that scale.

  • Resourceful problem-solver with a "no task too big or too small" mindset.

  • Natural relationship-builder who earns trust quickly with executives, partners, and peers.

  • Proficient in Google Workspace and comfortable picking up new tools quickly.

Nice to Have (Not Required)

  • Bachelor's degree preferred.

  • Experience standing up HR systems, policies, or onboarding programs at an early-stage company.

  • Experience working with and strong familiarity with Ashby ATS.

  • Event planning experience, especially customer-facing or executive events.

  • Deep interest in AI, technology, and building early-stage teams.

The base salary range for this full-time position in the location of San Francisco is:

$150,000—$250,000 USD

Compensation packages at Foundry Robotics for eligible roles include base salary, equity, and benefits. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position, determined by work location and additional factors, including job-related skills, experience, interview performance, and relevant education or training. Foundry Robotics employees in eligible roles are also granted equity based compensation, subject to Board of Director approval. You’ll also receive benefits including, but not limited to: Comprehensive health, dental and vision coverage, and generous PTO.
