For our office based in Milan, we are looking for a specialized Secretary to undertake a variety of administrative and clerical tasks.
You will be the point of reference for all queries, requests or issues and will be an integral part of the company’s workforce by assisting a team of attorneys and Partners.
As a Secretary you will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office.
Responsibilities
- Manage the daily/weekly/monthly agendas and arrange new meetings and appointments
- Make travel arrangements
- Answer phone calls and redirect them when necessary
- Draft and format documents (Word and PowerPoint), perform a few translations
- Prepare and distribute correspondence, memos and forms
- Open legal matters, collect AML related documents, prepare case files and provide electronic submissions
- Create expense reports
- Facilitate the meeting of deadlines by providing timely reminders
- Archive documents
- Update case record memories and inventories of contact details
- Conduct thorough documentary research
- Provide support with the compilation of timesheets
