Job Title: Office Administrator
Schedule: Monday through Friday, 8:00 a.m. to 4:30 p.m.
Reports To: General Manager
Position Summary
The Office Administrator is responsible for providing administrative and operational support to ensure the efficient day-to-day functioning of the office. This role serves as a primary point of contact for visitors and customers, supports management through reporting and recordkeeping, and maintains a professional and organized office environment.
Key Responsibilities
Administrative Support
路聽聽聽聽聽聽 Report directly to the General Manager and provide daily administrative assistance
路聽聽聽聽聽聽 Prepare, compile, and distribute internal reports, summaries, and correspondence
路聽聽聽聽聽聽 Maintain accurate filing systems (both electronic and physical)
路聽聽聽聽聽聽 Handle incoming and outgoing mail, emails, and phone calls
路聽聽聽聽聽聽 Schedule meetings, appointments, and conference rooms as needed
路聽聽聽聽聽聽 Assist with document preparation, data entry, and record maintenance
Front Office & Customer Service
路聽聽聽聽聽聽 Welcome and assist visitors, customers, and vendors in a courteous and professional manner
路聽聽聽聽聽聽 Answer and route incoming phone calls appropriately
路聽聽聽聽聽聽 Serve as the first point of contact for general office inquiries
路聽聽聽聽聽聽 Maintain a clean, organized, and professional reception and office area
Reporting & Coordination
路聽聽聽聽聽聽 Collect and organize operational data for management review
路聽聽聽聽聽聽 Assist the General Manager with daily, weekly, and monthly reports
路聽聽聽聽聽聽 Track office metrics, logs, and basic operational information
路聽聽聽聽聽聽 Coordinate communication between departments as directed
Office Operations
路聽聽聽聽聽聽 Order office supplies and maintain inventory levels
路聽聽聽聽聽聽 Coordinate with vendors, service providers, and maintenance personnel
路聽聽聽聽聽聽 Ensure office equipment is functioning properly and arrange service when needed
路聽聽聽聽聽聽 Support basic HR related tasks such as onboarding paperwork and recordkeeping, as applicable

路聽聽聽聽聽聽 Handle sensitive information with discretion and professionalism
路聽聽聽聽聽聽 Follow company policies, procedures, and safety guidelines
路聽聽聽聽聽聽 Support audits or internal reviews as requested by management
Qualifications
路聽聽聽聽聽聽 High school diploma or equivalent required; associate degree preferred
路聽聽聽聽聽聽 Previous administrative or office support experience preferred
路聽聽聽聽聽聽 Proficiency in Microsoft Word, Excel, Outlook, and basic office software
路聽聽聽聽聽聽 Strong organizational and time management skills
路聽聽聽聽聽聽 Excellent written and verbal communication skills
路聽聽聽聽聽聽 Professional appearance and customer focused attitude
路聽聽聽聽聽聽 Ability to prioritize tasks and work independently
