Responsibilities:

  • Coordinate day-to-day administrative operations across multiple offices, ensuring smooth operations, including ad-hoc support;
  • Lead contract lifecycle management: draft, review, coordinate approvals, and ensure proper execution of lease agreements, service contracts, and addendums;
  • Monitor contract compliance and obligations, including SLAs, payment terms, and deliverables; proactively identify and mitigate risks;
  • Coordinate with internal teams to ensure alignment on contract terms, budgeting, and approvals;
  • Oversee onboarding and offboarding of vendors, including due diligence, documentation collection, and contract setup;
  • Manage relationships with vendors and service providers across Cyprus and EU offices; ensure service quality and cost efficiency, administration of contracts, track expiration dates, and handle renewals and amendments;
  • Maintain and regularly update the registry of contracts, insurances, and related documentation; monitor validity periods, renewals, and proper archiving;
  • Drive reporting processes, including documentation tracking, maintaining structured document management, and ensuring accurate record keeping;
  • Assisting in redistributing workload to improve team efficiency and enable focus on key office operations;
  • Support standardization and continuous improvement of administrative processes across locations.
