The Willowbury Retirement Village is a brand-new retirement village set in a peaceful setting on the outskirts of West Malling. Designed to offer exceptional living, wellbeing, and support, the village places residents at the very heart of everything we do. We are seeking an Administrator / Receptionist to join our growing team in a full-time role of 37.5 hours per week, working any 5 days over 7, with shifts scheduled between 8am and 8pm.

This is a rewarding opportunity to be a key part of daily village life - providing a warm, professional welcome and essential administrative support within a resident-focused environment, with only limited interaction with external visitors and occasional community use of facilities.

The Role

As the first point of contact for residents and their guests, you will play a vital role in ensuring smooth day-to-day operations and a welcoming atmosphere across the village.

Responsibilities include:

  • Greeting and supporting residents and their visitors with professionalism and warmth
  • Managing the telephone system and supporting reception operations
  • Booking meeting rooms, guest suites, and parking
  • Maintaining accurate site directories and supporting a calm, well-organised front-of-house environment
  • Supporting fire and emergency procedures as a designated first responder
  • Assisting with general administrative tasks and payroll support for the General Manager
  • Contributing to a friendly, safe, and supportive community for residents

About You

We are looking for someone who:

  • Has previous experience in a receptionist, administration, or customer service role (1–3 years preferred)
  • Is highly organised, calm, and approachable
  • Enjoys working in a resident-centred, service-led environment
  • Has strong communication skills and attention to detail
  • Is confident using IT systems and handling confidential information sensitively
  • Values being part of a supportive team in a quieter, community-focused setting
