What you'll be doing

As our Executive Assistant (L.68/99), you'll be the person who acts as the primary facilitator for the executive's daily operations.

Here's what your day-to-day will look like:

  • Master Calendar & "Oxygen" Management – Proactively managing complex calendars for multiple executives, prioritizing high-leverage meetings while protecting "deep work" time.

  • Lead Meeting Lifecycle & Briefing – Producing daily briefing packs, capturing minutes during key meetings, and ensuring all action items are tracked to completion.

  • Orchestrate Travel & Logistics – Managing end-to-end global travel and logistics, including conferences and roadshows.

  • Drive Internal Operations & Culture – Acting as a Program Manager to ensure company-wide deadlines are met and organizing internal All-Hands, team ceremonies, and celebrations.

  • Collaborate on Executive Material – Ensuring the executive has all necessary decks, data reports, and presentations ready 24 hours before they are needed.

  • Handle Administrative Operations – Handling expense reporting, procurement requests, and document management to keep things running efficiently.

Who we're looking for

We need a problem-solver who loves teamwork and gets things done. If you're curious and ready for real ownership, you'll fit in! Does this sound like you?

  • Experience – You have 5-7 years in a high-pressure support or operations role, ideally within scale-up tech, finance, or consultancy environments.

  • Anticipation & Strategic Thinking – Ability to "see around corners"—anticipating needs and solving logistical issues before they even exist.

  • Tools & AI Proficiency – Mastery of Google Suite, Slack, and Notion, with proficiency in using AI to optimize workflows.

  • Strong Communication & Discretion – Fluent in Italian and English, with the ability to maintain absolute confidentiality regarding sensitive data.

  • Flexibility & Ownership – A "full flexible" approach and a willingness to go the extra mile to support the team.
