The Medical & Operations Administrator is a central, cross-functional role responsible for supporting clinical administration, office operations, finance, and facilities. Acting as a key point of contact for staff, patients, and visitors, this role ensures the smooth day-to-day running of both the medical services function and the office environment, maintaining high standards of organisation, communication, and compliance.

What you’ll be doing?
- Manage clinical and patient administration, including GP letters, prescriptions, test results, and urgent clinical correspondence
- Oversee GP record workflows, ensuring accuracy, follow up, escalation, and tracking
- Act as a central liaison between patients, GP practices, and internal clinical teams
- Support office operations and facilities, including visitor management, supplies, deliveries, and meeting coordination
- Provide administrative support to finance, including invoicing and basic financial processes
- Attend meetings, capture actions, and track follow ups to support delivery and accountability
- Support internal events, office culture, and day to day staff needs
- Assist with health, safety, and compliance, including fire safety procedures and onboarding support
Who are we looking for?
- Previous experience in an administrative role, ideally within a healthcare or clinical environment
- Excellent written and verbal communication skills, with the ability to correspond professionally with patients, clinicians, and external partners.
- Strong organisational skills and the ability to manage multiple workstreams simultaneously.
- Proficiency in Microsoft Office Suite, particularly Excel and Outlook.
- High attention to detail and accuracy, especially when handling confidential patient data.
- Confident and welcoming interpersonal skills, able to engage positively with a wide range of people.
- Able to work independently and use initiative to resolve issues as they arise.
