This position combines two core functions: Marketing Support and Operations Administrative Support, with responsibilities generally divided approximately 50/50.
Depending on business needs, the focus of the role may temporarily shift during busy periods, such as marketing events, exhibitions, or high order volumes. We are therefore looking for a flexible and proactive team member who enjoys working across different functions and supporting various teams in a dynamic international environment.
The role supports the Marketing team with sample management and event logistics, while also assisting the Operations team with order processing, shipment coordination, and invoicing activities.
MARKETING SUPPORT RESPONSIBILITIES (50%)
SAMPLE & MATERIALS MANAGEMENT
· Arrange and coordinate marketing sample orders with internal teams and suppliers
· Perform incoming checks to verify quantity, quality, and condition of samples and materials
· Maintain accurate records of samples, inventory levels, and storage locations
· Organize, store, and prepare samples for marketing use, meetings, and events
EVENT LOGISTIC SUPPORT
· Support logistics for marketing events, trade shows, and exhibitions
· Pack, ship, and track marketing materials, samples, and event equipment
· Coordinate with freight forwarders, couriers, and event organizers
· Manage return shipments and ensure materials are properly stored after events
OPERATIONS ADMINISTRATIVE SUPPORT RESPONSIBLITIES (50%)
OPERATION ADMINISTRATION
· Accurately enter and process purchase orders in the system
· Issue invoices for shipped orders
· Support shipment coordination and delivery follow-up
· Maintain accurate operational and administrative records
· Communicate with internal departments and external logistics partners regarding order status and deliveries
