QSIC is a Series B SaaS + hardware company that powers in-store audio and advertising for some of the world’s largest retailers. We operate across the US, Australia, and Asia-Pacific, managing complex multi-element revenue arrangements (subscriptions, hardware, advertising revenue share) across 42+ US states and multiple international jurisdictions. Our finance function is at an inflection point — we’re building the systems, controls, and team to support the next phase of growth toward Series C and beyond.

The Role

We’re looking for a VP Finance to serve as the CFO’s operational right hand — someone who can own the day-to-day finance function while also contributing strategically to how we scale the business. This is not a pure accounting role. You’ll oversee close, compliance, and controls, but you’ll also shape our financial systems architecture, lead a growing team across time zones, and be a key voice in decisions about new markets, deal structures, and capital allocation. Ai and technology is key to the role.

You’ll inherit a team of 6 (2 onshore, 4 offshore) and be expected to build it to 8-10 over the next 24 months. The offshore team handles day-to-day accounting operations; you’ll manage the onshore leads and set priorities for the whole function.

What You’ll Own

  • Financial Operations & Close
  • •      Own the month-end and quarter-end close process across US, EMEA, MX and Australian entities. Drive close timelines from current state (3–4 weeks) toward 10 business days.
  • •      Oversee revenue recognition (ASC 606) for multi-element arrangements: SaaS subscriptions, hardware sales, advertising revenue share, and managed services.
  • •      Manage consolidation across 4+ entities
  • •      Own the annual audit relationship (PwC Australia statutory audit, US compilation) and drive audit-readiness year-round.
  • Compliance & Tax
  • •      Manage multi-state sales tax compliance (Avalara), reseller certificate compliance, state income tax filings, and Secretary of State registrations across 42+ states.
  • •      Oversee subcontractor compliance (1099, W-9, state-level contractor rules) for a large installer network.
  • •      Coordinate US federal and state income tax, government grants (R&D), and transfer pricing documentation.
  • •      Own music licensing compliance (SoundExchange, SESAC, APRA AMCOS) with support from legal.
  • Systems, Process & Controls
  • •      Drive the finance systems roadmap: Xero (GL), Salesforce (order-to-cash), Avalara (tax), Aleph (FP&A), Ramp (expenses), and evaluate consolidation/reporting tools.
  • •      Build a documented internal control framework appropriate for Series B, progressing toward SOC 2 readiness.
  • •      Own procurement workflows, vendor onboarding, and spend approval processes.
  • •      Implement and manage AP/AR automation (ApprovalMax, Dext) and banking controls.
  • Team Leadership
  • •      Manage 4–6 direct and indirect reports across US and offshore (Philippines). Set priorities, run weekly team meetings, and build a culture of accountability and continuous improvement.
  • •      Hire and onboard 2–3 new team members in the first 12 months (Compliance Analyst, Senior Accountant, potential AU Junior Analyst).
  • •      Develop the offshore team’s capabilities — move from task execution toward independent ownership of recurring processes.
  • Strategic Finance Support
  • •      Partner with the CFO on board reporting, investor materials, and capital planning.
  • •      Support deal modelling and pricing analysis with FP&A for new client opportunities as needed.
  • •      Own the annual budgeting process end-to-end: coordinate with department heads, build and maintain the consolidated budget model, track actuals vs budget, and present variance analysis to the CFO and SLT.
  • •      Contribute to rolling forecasts and scenario planning alongside FP&A.
  • •      Provide financial input on new market expansion (compliance, entity setup, tax implications).

What We’re Looking For

  • Must-Haves
  • •      8–12+ years of progressive finance experience, including at least 3 years in a leadership role (Controller, Sr Controller, Director of Finance, or VP Finance) at a high-growth SaaS or technology company.
  • •      Deep experience with US multi-state tax compliance (sales tax, income tax, registrations).
  • •      Hands-on experience with revenue recognition for multi-element arrangements (ASC 606).
  • •      Track record of building or significantly improving month-end close processes.
  • •      Experience managing distributed teams (onshore + offshore).
  • •      CPA, CA, or equivalent professional qualification.
  • •      Technology fluent — comfortable with SaaS products, AI tools, and automation. You should be someone who actively seeks out technology to improve workflows
  • •      Advanced Excel skills — you live in spreadsheets. Comfortable building complex financial models, pivot tables, lookups, and dynamic reporting from scratch. Ai (Claude) supported.
  • Nice-to-Haves
  • •      Experience at a SaaS + hardware company (mixed revenue models, inventory, logistics).
  • •      Big 4 (PwC, Deloitte, EY, KPMG) or consulting background
  • •      International operations experience (Australia, APAC).
  • •      Experience with Xero, Salesforce, Avalara, Ramp, or Aleph.
  • •      Exposure to equity administration (ESOP/409A) and investor reporting.
  • •      Experience preparing for or supporting a Series C/D fundraise.
