We are seeking a responsive, Reservations Coordinator to support a growing
corporate housing and property management organization. This role is the front line of our
revenue engine, responsible for capturing and converting inbound booking inquiries across all major OTA and corporate housing platforms.
This position blends fast, high-quality lead response with meticulous platform management and pipeline tracking. The ideal candidate is organized, persuasive, and guest-obsessed. Someone who understands that every unanswered inquiry is revenue left on the table.
You will work closely with property managers, operations teams, and internal stakeholders to ensure all inbound opportunities are handled promptly, all platforms remain accurate, and every lead is followed through to a confirmed booking
RESPONSIBILITIES
Lead Response & Booking Conversion:
Monitor and respond to all inbound inquiries across OTA and corporate housing platforms (Reloquest, Nomad, AltoVita, OWL, and Silverdoor and others) within defined SLA windows.
Qualify leads based on dates, budget, unit availability, and guest or corporate client requirements.
Follow up with prospective guests and clients to move open inquiries toward confirmed bookings.
Present available units clearly and persuasively, tailoring communication to each lead's specific needs.
Track and manage an active pipeline of open inquiries, ensuring no lead falls through the cracks.
Coordinate with operations to confirm unit availability and readiness before committing to a booking.
Process and confirm reservations accurately across all active platforms.
Platform & Listings Management:
Maintain up-to-date availability, pricing, and property information across all OTA portals.
Ensure listing content, descriptions, and amenity details are accurate and current at all times.
Identify and report listing gaps or inconsistencies that may impact conversion rates.
Support the upload and maintenance of property media and documentation as needed.
Sourcing & Inventory Management:
Identify and onboard new apartment inventory by researching available furnished units across target markets through platforms, broker networks, and direct landlord outreach.
Maintain a live inventory of available, reserved, and upcoming units — auditing regularly to flag supply gaps against incoming demand.
Coordinate with property owners and leasing contacts to confirm unit details, pricing, lease terms, and move-in readiness before listing or committing to guests.
Support new unit onboarding by collecting photos, documentation, and amenity details needed to launch accurate, conversion-ready listings.
Monitor market conditions to inform sourcing priorities and maintain organized records of all active and prospective inventory.
Operations & Data Management:
Maintain accurate records of all inbound inquiries, follow-ups, and confirmed bookings.
Track conversion metrics and flag patterns or performance issues to leadership.
Conduct regular audits of open inquiries to ensure timely follow-up and pipeline hygiene.
Maintain clean, organized documentation of all platform activity and client communications.
Process Improvement & Collaboration:
Support leadership in identifying opportunities to improve lead response workflows and conversion rates.
Collaborate with operations and property management teams to ensure seamless handoffs from booking confirmation to guest arrival.
Contribute to the development and documentation of SOPs as processes evolve.
ABOUT YOU
2+ years of experience in corporate housing, short-term / mid-term rentals, hospitality, relocation, real estate, or a related customer-facing, B2B service environment.
Proven track record responding to and converting inbound leads or booking inquiries.
Exceptionally strong written and verbal English communication skills.
Highly organized and fast—you treat unanswered inquiries as urgent.
Comfortable managing multiple platforms and open leads simultaneously.
Highly detail-oriented with a strong commitment to data accuracy and follow-through.
Proactive, self-directed, and comfortable working independently in a remote environment.
Preferred Skills & Tools
Experience with corporate housing, mid-term rental or travel booking platforms
Familiarity with property management systems or booking software.
Proficiency with Microsoft Office or Google Workspace.
Comfort using AI tools (e.g., ChatGPT, Claude, or similar) to draft communications, summarize inquiries, and improve response efficiency.
Experience with CRM or ticketing systems.
Familiarity with client portals and internal communication tools.
Experience working in distributed or remote teams.
