The Role

The Administrative Assistant involves handling documentation, supporting project teams, and ensuring compliance with internal procedures and client requirements.

Key Responsibilities

  • Provide administrative support to project teams, engineers, and management
  • Maintain and manage project documentation, including contracts, reports, and technical records
  • Assist in document control processes in line with client and project requirements
  • Coordinate meetings, prepare agendas, and record minutes (MOM)
  • Handle correspondence with clients, vendors, and internal stakeholders
  • Support mobilization and onboarding processes (visa documentation, certifications, etc.)
  • Maintain employee records, certifications, and compliance documentation
  • Coordinate travel arrangements, accommodation, and logistics for site personnel
  • Track and manage office and site-related documentation submissions
  • Assist in procurement coordination and vendor communication
  • Ensure adherence to company policies, HSE guidelines, and client standards
