PURPOSE OF POSITION:
The purpose of the Inventory Coordinator is to ensure accountability, accuracy, and effective management of Field Service (FS) inventory across all IEM Field Service locations. This role is responsible for developing and maintaining inventory management procedures, coordinating cycle counts and reconciliations, and supporting inventory control processes across multiple facilities.
The Inventory Coordinator works closely with warehouse personnel and internal teams to ensure inventory records remain accurate and up to date, supporting the receipt, storage, and shipment of parts. The role also analyzes parts demand and provides stocking recommendations to the Director of Product Services through the Logistics Manager.
In addition, the Inventory Coordinator assists the RMA Coordinator as part of Product Services’ cross-training approach, ensuring continuity across departmental functions. Through oversight of inventory systems and reporting, this role contributes to the development and monitoring of key performance indicators (KPIs) to support operational decision-making and maintain effective inventory and RMA processes.
SUPERVISORY RESPONSIBILITIES:
This position does not have direct supervisory responsibilities.
ESSENTIAL FUNCTIONS:
- Improve accountability of all Field Service inventories through the development and implementation of inventory management policies and procedures.
- Maintain accurate inventory records or assist Field Service personnel in doing so through training on inventory procedures and system updates within INFOR.
- Train personnel on proper inventory practices and procedures, including conducting inventories and cycle counts.
- Monitor inventory systems for discrepancies and assist in reconciling mismatches between physical inventory and system records.
- Oversee inventory and accountability for Field Service test equipment within the IAD Center of Excellence and other FS locations in accordance with applicable Standard Operating Procedures and Work Instructions.
- Coordinate with warehouse staff and third-party vendors to facilitate the receipt, storage, and shipment of inventory items.
- Assist the RMA Coordinators with the updating and tracking of repaired or replaced goods in the inventory management system to maintain appropriate stock levels.
- Assist the RMA Coordinator with the receipt, tracking, and final disposition of returned materials.
- Maintain KPIs for inventory and RMA processes and upload KPI data into reporting systems that provide management with clear operational visibility.
- Provide recommendations on stocking levels and inventory management improvements based on inventory demand analysis.
- Perform other duties as assigned by management.

- Inventory Management & Organization: Maintains structured inventory tracking practices and ensures materials and records are properly organized to support operational efficiency.
- Attention to Detail & Accuracy: Demonstrates a high level of precision when managing inventory transactions, documentation, and system updates to minimize discrepancies.
- Inventory Data Analysis: Reviews inventory data and system reports to identify inconsistencies, trends, and opportunities for improved stock management.
- Cross-Functional Collaboration: Works effectively with Field Service personnel, warehouse staff, logistics teams, and Product Services personnel to maintain alignment on inventory needs and operational support.
- Task Prioritization & Workload Management: Manages multiple responsibilities and competing priorities while maintaining accuracy and meeting operational deadlines.
- Problem-Solving & Process Improvement: Identifies operational gaps or inventory variances and supports the implementation of corrective actions to improve processes and accountability.
- Inventory Systems & Reporting Tools: Utilizes inventory management systems and reporting tools to track stock levels, monitor activity, and maintain accurate inventory records.
EDUCATION AND EXPERIENCE:
- High School Diploma or equivalent.
- Minimum of 2 years of experience in inventory control, warehouse operations, or RMA processes, including experience:
- Using inventory management systems to track, process, and manage stock.
- Working with RMA procedures and product return processes.
- Proficiency in Microsoft Office applications, including Outlook, Excel, Access, and PowerPoint.
PHYSICAL/MENTAL/ENVIRONMENTAL:
Physical Demands:
- Activities: Sitting – 70% Walking/Standing – 30%
- Lifting: Must be able to lift up to 50lbs.
- Vision: Long periods of close work on a computer screen.
- Travel: Travel (up to 10%) to IEM regional offices, warehouse locations, or vendor sites.
Mental Demands: Interpret, analyze, research, and manage multiple tasks simultaneously while maintaining attention to detail.
Environment: Climate-controlled office space and warehouse environments; exposure to non-climate-controlled areas may occur during inventory activities.
Compensation actually offered for this role will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
