About the Role

We are building the operational backbone of a fast-growing consumer brand, and we are looking for an Operations Coordinator who can own the day-to-day engine that gets product made, shipped, and into the hands of customers. Your mission is to keep manufacturing, logistics, customer service, and internal systems running smoothly so the founding team can stay focused on product and growth. This is a hands-on, high-ownership role that spans manufacturer and 3PL management, customer support, procurement, B2B order processing, and systems administration. You won't just execute tasks, you'll be the person who makes sure nothing falls through the cracks and who turns recurring pain points into operational improvements. Think of it as the operational right hand to the CEO, with real exposure to every moving part of a physical product business. You'll collaborate daily with the commercial and brand teams, in a small, high-caliber team of seven with high ownership and low bureaucracy.

Responsibilities

  • Manage the day-to-day relationship with the manufacturer, place purchase orders, track lead times, coordinate new flavor and packaging development, ensure quality and compliance standards are met, and own the production calendar while flagging risks early.

  • Own the 3PL relationship end-to-end by monitoring SLAs, picking and packing lead times, carrier performance, and delivery rates, resolving shipping incidents, managing restocking, tracking warehouse inventory levels, and leading 3PL migrations or evaluations of alternative providers as needed.

  • Run customer support across email, WhatsApp, and Instagram, resolve lost or delayed orders, product questions, subscription management, and manufacturing incidents, escalate logistics and production issues to the relevant partner, and track service KPIs to turn recurring pain points into operational improvements.

  • Source and manage non-product materials such as boxes, displays, merch, flyers, bottles, and event collateral, coordinate deliveries to the warehouse, manage supplier relationships and pricing, and ensure materials are stocked ahead of launches and activations.

  • Set up and process B2B orders in Shopify to ensure accurate tracking and reconciliation, and coordinate with the commercial team on consignment, wholesale fulfillment, and delivery timelines.

  • Help maintain the company's operational tool stack (Shopify, Google Workspace, and other platforms), manage access and permissions, support onboarding of new team members, and keep internal documentation clean and up to date.

  • Coordinate internal orders for team members and events, including national and international shipments, office supplies, and anything the team needs to operate day-to-day.

Requirements

  • 2–3 years of experience in operations, logistics, supply chain, or a similar coordination role, ideally at a startup, e-commerce company, or consumer brand.

  • Highly organized and detail-obsessed, tracking every order, every deadline, and every loose end so nothing falls through the cracks.

  • A natural problem-solver who fixes broken shipments, supplier misses, or customer issues fast and figures out how to prevent them next time.

  • AI-forward mindset, using AI daily as a core part of how you work to move faster, automate repetitive tasks, and multiply your output.

  • Strong communicator who can manage relationships with external partners (manufacturers, 3PLs, suppliers) professionally and assertively.

  • Comfortable juggling multiple priorities in a fast-paced, ambiguous startup environment without needing someone to tell you what to do next.

  • Native-level Spanish required. Fluent English required (professional working level for coordinating with US-based partners).

Nice-to-Have

  • Experience managing 3PL or manufacturer relationships.

  • Familiarity with Shopify.

  • Prior experience at a DTC or consumer brand.
