The Role
The Administrative Assistant involves handling documentation, supporting project teams, and ensuring compliance with internal procedures and client requirements.
Key Responsibilities
- Provide administrative support to project teams, engineers, and management
- Maintain and manage project documentation, including contracts, reports, and technical records
- Assist in document control processes in line with client and project requirements
- Coordinate meetings, prepare agendas, and record minutes (MOM)
- Handle correspondence with clients, vendors, and internal stakeholders
- Support mobilization and onboarding processes (visa documentation, certifications, etc.)
- Maintain employee records, certifications, and compliance documentation
- Coordinate travel arrangements, accommodation, and logistics for site personnel
- Track and manage office and site-related documentation submissions
- Assist in procurement coordination and vendor communication
- Ensure adherence to company policies, HSE guidelines, and client standards
